The Complexity of Inpatient Care

Managing inpatients is one of the most complex operations in a hospital. Multiple departments, round-the-clock care, bed allocation, medication administration, and discharge planning require coordination that paper systems cannot deliver.

NileByteCare’s Inpatient (IPD) module brings order to this complexity.

Admission Workflow

1. Admission Request

When a clinician decides a patient needs admission:

  • Admission request created from the encounter
  • Reason for admission documented
  • Request sent to admissions department

2. Approval and Admission

Admissions department reviews and approves the request:

  • Bed availability checked
  • Patient admitted with timestamp
  • Encounter linked to admission for continuity

3. Bed Assignment

Using the visual bed management grid:

![Bed Grid] Each bed is color-coded:

  • Green — Available
  • Red — Occupied
  • Yellow — Housekeeping
  • Blue — Reserved

Beds can be transferred between wards as needed.

During the Stay

Nursing Rounds

Nurses document regular rounds:

  • Vital signs snapshot
  • Observation notes
  • Pain assessment
  • Intake/output tracking
  • Automated alerts for abnormal values

Medication Administration

The Medication Administration Record (MAR) tracks:

  • Scheduled medications with dosage and route
  • Administration time and nurse identification
  • Missed doses and reasons
  • PRN (as-needed) medication administration

Daily Progress

Clinicians document daily progress notes. The complete clinical picture — labs, imaging, nursing notes, medications — is available on a single screen.

Orders During Stay

Clinicians can continue ordering:

  • Lab tests (daily or as needed)
  • Imaging studies
  • Consults with other specialties
  • Procedures
  • Diet and activity orders

Discharge Workflow

1. Discharge Decision

When the patient is ready for discharge:

  • Discharge summary is created
  • Final diagnosis documented with ICD-10 coding
  • Discharge status selected (Routine, AMA, Transfer, Deceased)
  • Follow-up appointment scheduled

2. Discharge Summary

The discharge summary includes:

  • Admission date and reason
  • Significant findings during stay
  • Procedures performed
  • Final diagnosis
  • Discharge medications
  • Follow-up instructions

3. Final Billing

Upon discharge, all services are consolidated for billing:

  • Room charges (by bed type and duration)
  • Nursing services
  • Medications administered
  • Lab tests and imaging
  • Procedures performed
  • Consultation fees

Insurance claims are generated automatically.

4. Bed Release

The bed is released and marked for housekeeping, making it available for the next patient.
